OVER COFFEE HUB Terms of Use

These Terms of Use govern the use of the coworking space known as OVER COFFEE HUB (hereinafter referred to as "the Facility"). By using our services, users agree to comply with these terms, which are designed to foster a smooth and cooperative relationship between users and the Facility’s management.

1. General Provisions

• These terms apply to all users of the Facility, including both members and drop-in users.

• Our mission is to support diverse work styles, encourage creative interaction, and foster new value creation.

• All users are expected to understand and follow these rules and contribute to a positive and healthy coworking environment.

2. Membership Types & Fees

Night Owl Plan

• Fee: ¥5,940/month (tax included)

• Access Hours: 6:00 PM – 12:00 AM (Weekdays & Saturdays)

• Access Area: 2F & 3F coworking spaces

• Drink Tickets: 5 per month (¥700 each)

Lite Member Plan

• Fee: ¥9,900/month (tax included)

• Access: Up to 6 selectable days per month (Weekdays & Saturdays)

• Hours: 7:00 AM – 12:00 AM

• Access Area: 2F & 3F

• Drink Tickets: 6 per month (¥700 each)

Coffee Lover Plan

• Fee: ¥16,390/month (tax included)

• Access Hours: 9:00 AM – 6:00 PM (Weekdays & Saturdays)

• Access Area: 2F & 3F

• Drink Tickets: 20 per month (¥700 each)

Full Time Plan

• Fee: ¥22,990/month (tax included)

• Access Hours: 7:00 AM – 12:00 AM (Weekdays & Saturdays)

• Access Area: 2F & 3F

• Drink Tickets: 30 per month (¥700 each)

Resident Plan

• Fee: ¥29,800/month (tax included)

• Access Hours: 24/7 year-round (3F access only on Sundays)

• Access Area: Full facility access

• Drink Tickets: 30 per month (¥700 each)

Enrollment Fee

• Individual: ¥5,500

• Corporate: ¥11,000

Drop-In Use

• Hours: Weekdays, 9:30 AM – 6:00 PM (Closed on Sundays)

• Rate: ¥1,500/day

3. Payment, Auto-Renewal & Cancellations

• All memberships are prepaid and automatically charged at the beginning of each month.

• The first month's fee is prorated based on your registration date.

• Memberships auto-renew monthly unless canceled by the 20th of the previous month.

• Payments are processed via credit card through the "FIX U" app or by bank transfer.

• Payments are non-refundable under any circumstances, except if the Facility cancels service.

• Late payments incur a penalty interest of 14.6% annually, calculated daily.

4. Optional Services

Available to both members and drop-in users for an additional fee:

• Address registration & mailbox: ¥13,800/month

• Locker rental: ¥5,500/month

• Private meeting room (up to 4 people): From ¥2,200/hour

5. Prohibited Activities

The following are strictly prohibited and may result in suspension, termination of membership, or claims for damages:

• Disturbing other users or neighbors

• Unauthorized religious or political activities (unless pre-approved)

• MLM schemes or solicitation

• Use by individuals linked to criminal or antisocial groups

• Damage to or unauthorized use of facility equipment

• Use of the facility name/address without permission (e.g., for company registration)

• Overnight stays

• Use of open flames or hazardous materials

• Any activity that disrupts facility operations

6. Facility Access & the "FIX U" App

• All bookings, access, and payments must be made through the LINE-based "FIX U" app.

• We are not responsible for damages due to app malfunctions or user error.

• Please also refer to the "FIX U" terms of service (link to be provided).

7. Cancellation & Termination

• To cancel your membership, submit a request via our website or LINE by the 20th of the month prior to cancellation.

• We reserve the right to terminate memberships immediately for violations of these terms or behavior disruptive to operations.

8. Liability Disclaimer

• Users are responsible for their personal belongings. We are not liable for theft, loss, or damage.

• We do not mediate or take responsibility for disputes or business transactions between users.

• We are not liable for service interruptions caused by natural disasters, power outages, or communication failures.

• Users assume all risk for injuries or accidents occurring within the facility.

9. Use of Event Space

• Event space reservations must be made through InstaBase. Please contact us in advance if other arrangements are needed.

• Setup, use, and cleanup must occur within your reserved time slot. Reset the room (tables/chairs) after use.

• Waste from food/beverages provided by OVER COFFEE HUB can be disposed of on-site. Other waste must be taken home.

• Any damage or stains will be charged at cost (e.g., ¥3,000 per chair).

• Any use of fire, candles, or smoke machines requires prior approval.

• Keep noise at a considerate level—especially for music, microphones, and instruments.

• Events involving product sales or for-profit activities require prior approval.

• Cancellation Policy:

  • Same-day cancellation: 100% fee

  • 1–7 days before: 50% fee

  • 8+ days before: No charge

  • Note: InstaBase cancellation terms also apply if booked via that platform.

10. Amendments

These terms are subject to change without prior notice at the discretion of the Facility. Any updates will be announced via in-facility postings, our website, or LINE.
